24/7 Access - Allowing Customer Self-Service

Today's customers have grown accustom to self-service - and now it's time for self-serve Government.

As customers we expect to be able to get the information we want on our own schedules. Many of us simply like the idea of not needing a human to get what we want - maybe it's antisocial behavior or perhaps the fact that every time we speak to a representative they give us the same long pitch to sell us something.

What ever the case may be, we have naturally grown to expect our local Government to follow suit. If you consider the benefits to both government workers and the constituents, you wonder why there is even a debate or delay - (or perhaps you know the answer to that). Consider a few benefits:

  • Ease of scheduling and organizing workflow- they no longer have to wait for customers at the calendar or for the mail to be delivered
  • Previous data entry is alleviated as it is done by the filer- reducing mistakes and speeding up processing
Accessing Public Records online - 
Benefits to the Public
  • View any public records from anywhere at anytime
  • Receive the materials electronically, which is how you will inevitably need them to email or save, etc.
Benefits to Government Staff
  • No need to process the request, no researching, copying, mailing - Citizen was able to get the information they need & you didn't have to interact at all!

Getting everyone else on the Paperless "Page"

So... you've had it with Paper.

You realize that it has major shortcomings:
It gets destroyed by anything it comes in contact with- water, fire, time, dogs...
It always gets misplaced, lost or viewed by someone who has no business looking at it...
It seemingly takes up no room at all, until you are drowning in it and paying extra rent for it...

So how do you get everyone else on your "Page?"  

Simple steps to consider:

1. Start with a paper-intensive process that affects customer and member service- a focus on the customer cannot be denied - and those who actually deny that the customer is #1 likely won't be around too long.

2. Identify & Develop internal champions- find those people who will be most positively impacted on professional and personal level. The higher the executive the better- we know who has the budget!

4. Respect that peopl
e fear change - you don't have to get rid of all of your paper at once- change can happen in steps with the right ECM solution and can help encourage adoption.

5. Talk, but most of all Listen - make sure you know the pains your employees face - then you can specifically tune your message to how ECM will make their lives easier. A simple diagram or a visual walk through of the new process will go a long way- COMMUNICATION- and lots of it...and food of any type also helps.

Trust your instincts! If it seems like a waste of time- it probably is!

Trust your instincts!

It amazes me how often we don't trust our own instincts when it comes to our business processes.

We create a process - knowing full well that certain parts of that process are mind-numbing, painful and inefficient. Maybe it is manual data entry- this data must get into my software program! Or maybe it is a process of sending an employee file diving for that one piece of paper that might have that sticky note you need. These are a fact of everyday business life - agreed - but there is a reason why they feel wrong.

WRONG? Yes - just think about the ways that we try to overcompensate for these "pains". If your not the delegating type- you just do them yourself and work longer hours - if you assign them to employees, you allow them to take "shifts" to alleviate the potential of them passing out of boredom or just walking out. Perhaps you find an intern or retiree to take over this work, but in any case, you know that this isn't the most efficient use of your company resources.

What is the solution?
Trust your instincts.
There is a better way

Enterprise Content Management (ECM) could be the solution. If you have a process that is largely transactional, paper-based or involves data entry, ECM software might be the answer to getting past the   "there has to be a better way" thought that often crosses your your mind.
